Users
Every field on a user record - sign-in, access, labour codes, notifications and Sales roles.
Every team member who logs into the mobile app, and every row on the calendar, starts with a user record here. This page is the field-by-field reference. If you are adding somebody for the first time, Set up a new team member walks the whole job through instead.
The list
Shows every user’s Name and Email, with edit and delete actions, plus an Add User button. A blocked user’s row is greyed out and carries a Blocked tag.
How the form is laid out
A user record is long, so Edit User is grouped into foldable sections - Details, Access and roles, Timesheets and labour, Notifications, Scheduler preferences, Accounting and payroll links and Sales Portal. Click a heading to fold it away or open it again.
Two things worth knowing:
- Your browser remembers which sections you fold. Somebody who never touches the Sales Portal fields can close that section once and stop seeing it.
- A refused save opens the section holding the problem. If a field further down is missing or wrong, you are taken to it rather than left looking at a form that will not save.
A heading can also carry a short note saying why its contents are quiet - for example that a module it depends on is off.
Details
| Field | What it is |
|---|---|
| Name | How they appear on the calendar and on jobs |
| Their sign-in. Fixed once the user is created - the box is read-only when editing | |
| Mobile # | Their contact number |
| Labour Codes | The codes they are allowed to log time against |
| Service fee labour code | Charges this person’s service fee to their own code instead of the tenant-wide default. Only shown when the fee is switched on, and - None - means use the default - see Service charge |
| Location | The product location they are tied to |
| Infusion Staff Member | The Infusion user this person maps to |
| Accredo Sales Person | Accredo Saturn tenants only - hidden on Infusion Online and Infusion Elite, where “Quoted By” resolves through the Infusion staff member instead |
| Notes | Anything the office should know about this person. Shown when you hover their row on the calendar |
| Password | Required when creating a new user |
A password is mandatory when adding a new user - you can’t save one without it.
Access
| Tick | What it gives them |
|---|---|
| Is Admin | Full access, including settings and every job |
| Timesheets | The Timesheet screen, to log their own time |
| Can view all jobs | The All Jobs list, not only the jobs booked to them. All shows every job; User’s Location shows only jobs at their own Location, leaving out jobs with no location |
| Can create jobs | The ability to raise a job themselves |
| Show on Scheduler | A row on the calendar, so work can be booked to them |
| Is apprentice | Marks them as an apprentice |
| Notify if worklog left open | A nudge when they finish the day still clocked on |
| Notify when completed job | Tells them when a job is completed - the same role the calendar’s right-click menu on a resource toggles |
| Can sign off timesheets | Lets them authorise somebody else’s hours. Greyed out, with the reason on the row, until Allow timesheets to be signed off is switched on in Settings - see Signing off timesheets |
| Auto overtime (plus a cutover and a labour code) | Books their hours past a daily cutover to an overtime code - see Automatic overtime |
| On call (on call now, allowances held, on-call time) | Puts them on call and says which on-call allowances they earn, when the company pays them - see Put someone on call |
| Notify of urgent / non-urgent follow through work | Emails them what team members report as left over at the end of a job - see Follow through work |
Seeing what their phone will show
See their Home screen opens the Mobile Home Screen settings with this person previewed, so you can check what the roles you have just given them actually put on their phone. It leaves the form without saving, so save first.
Sales Portal fields
| Field | What it does |
|---|---|
| Can access Sales Lead Portal | Lets them into the Sales Portal |
| Is Sales Lead Admin | Administers leads, including deleting them |
| Is Sales Person | Marks them as a salesperson |
| Quote approval limit | Quotes above this total need a supervisor’s approval before they can be sent. Blank means no limit |
| Can approve quotes | Lets them approve somebody else’s quote |
These fields are greyed out until the Sales module is switched on for your business. They are shown rather than hidden on purpose, so you can see the roles exist beforehand. Admins can reach the Sales Portal whatever the first tick says, and admins and Sales Lead Admins can approve quotes whatever the last one says - approving someone else’s quote does not lift the approver’s own limit.
Removing access
At the bottom of a user’s record is Block user. It signs them out of every device, erases this company’s data from those devices, and stops them logging in again until you unblock them - while keeping the record and its history. See Block someone’s access for what it does in full, and how it differs from deleting.
Changing the order of calendar rows
The order team members appear on the calendar isn’t set here - click the Reorder users button (the up/down arrows icon) on the calendar toolbar to open a dedicated drag-and-drop reordering screen instead.
