Start and stop times on the job line
Show customers when the work happened, on the charge line of their invoice.
Some customers want to see when the work was done, not just how long it took. Turn this on
and each timesheet line Tradie sends to your accounting system carries its start and stop
time on the end of the product description, such as 08:00-10:30. You can do this for every
customer, or only for the customers who ask for it.
Turning it on
Step by step: add times to timesheet lines
- Open Settings from the menu, and find Time Recordings Settings.
- Choose an option for Start/Stop Times on the Product Description:
- Off adds nothing. This is the default.
- All customers adds the times to every timesheet line.
- Selected customers only adds them only on jobs for the customers you tick.
- If you chose Selected customers only, open Customers from the menu.
- Tick Times on timesheet lines against each customer who wants the times.
Each tick saves straight away. It only affects timesheet entries submitted after you change it. Lines already in your accounting system are not changed.
The Times on timesheet lines column only appears while the setting is Selected customers only. Ticks you have made are kept if you switch the setting to something else, and they apply again if you switch back.
What the line looks like
The times go at the very end of the description, after a space, in 24-hour time:
Labour - standard rate 08:00-10:30
└─ the product's description ─┘ └─ start and stop ─┘
If you also use Timesheet notes on the job line, the note comes first and the times still go last:
Labour - standard rate - replaced thermostat 08:00-10:30
Each line shows its own times
When an entry is sent as more than one line, each line shows the part of the day that line covers, not the whole entry:
- Lunch breaks, on Infusion Online. Infusion Online checks a line’s hours against its
times, so an entry with a lunch break linked to it is sent
as two lines, either side of the break. The line before lunch shows the morning and the
line after it shows the afternoon, such as
08:00-12:00and12:30-16:30. Infusion Elite and Accredo Saturn take the entry as one line, so it shows the whole span,08:00-16:30. - Service charges. Where the first hour is billed as a service charge, the labour line
starts when the service charge ends. An entry from 08:00 to 10:30 with a one-hour charge
sends its labour as
09:00-10:30.
An entry without a start and stop time, such as one entered as hours only, is sent without times.
When the description is too long
Your accounting system stores the description in a field of fixed width:
| Accounting system | Room on the line |
|---|---|
| Infusion Online | 255 characters |
| Infusion Elite | 80 characters |
| Accredo Saturn | 60 characters |
The times take 12 characters, and they always arrive whole. If the description is too long to fit them, Tradie shortens the description to make room, cutting it between words. On Accredo Saturn this happens for product descriptions longer than 48 characters.
When a note is being added as well, the note gives way first. As much of the note as fits goes on the line before the times, and the rest is added to the job as note lines, the same as without times.
What does not get times
Service charge lines. Tradie sends these without a description, so your accounting system shows the service charge product’s own wording. The labour line beside it shows its times, which tells the customer when the work started.
