Unposted transactions
Find out when hours or a safety form fail to reach your accounting system, and fix it.
Sometimes a timesheet or a health and safety form cannot be recorded against its job, most often because the job has been closed. Tradie keeps it, tells the office, and lists it here until someone puts it right. Nothing is lost while it waits.
How you find out
An amber warning button with a number on it appears in the header whenever something is waiting. The number is how many. The button is only there while there is something to deal with, so on most days you will not see it at all.
When a transaction first fails, a card also appears in the bottom-left corner of every open Scheduler in the office. It names the person, what they were recording, the job and the reason.
The card stays until you dismiss it. Dismissing it does not deal with the problem: the button in the header stays until the transaction has been posted or deleted. If several fail at once, the cards are replaced by one that says how many.
A transaction that fails again when it is retried does not raise a second card.
What the list tells you
Click the warning button, or View all on a card, to open the list. Each transaction shows:
- When it first failed, Who it belongs to and What it is.
- The Job it was for.
- Why it failed, in your accounting system’s own words.
- How many times it has been tried. Tradie retries timesheets by itself, and stops after five attempts. The list says when that has happened.
Each one also carries a coloured label, which is Tradie’s own judgement of whether it is a real problem.
| Label | What it means | What to do |
|---|---|---|
| Genuine | A health and safety form that was never recorded. This is the only copy of it. | Fix the cause, then Retry. |
| Probably genuine | A timesheet with no record of it ever being posted. | Fix the cause, then Retry. |
| Not genuine | The hours have since been posted, or the timesheet entry has been deleted. | Delete it. |
| Needs a look | Tradie cannot read it well enough to judge. | Contact support. |
The list is sorted with the ones that need attention first.
Putting one right
The reason usually says what to do. Job is closed means the job needs reopening in your accounting system. A job that was not found usually means the form was filled in against the wrong job.
Step by step: post a transaction that failed
- Click the amber warning button in the header.
- Read the Why column for the transaction.
- Fix the cause in your accounting system.
- Click Retry beside the transaction.
When the retry works, the transaction leaves the list and the number in the header goes down. When it does not, the new reason appears under it.
Open job shows the job in the Job Details pane, and Retry all retries everything in the list that can be retried.
Retry is safe to press on a timesheet marked Probably genuine. Infusion Elite does not accept the same timesheet line twice, so a retry of hours that had already arrived clears the transaction without posting them again. The Tradie connector must be running.
Before retrying a timesheet marked Probably genuine, check the job in Infusion Online for those hours. If the line is already there, delete the transaction instead: a retry would post it a second time.
Clearing out the ones that are not genuine
A transaction marked Not genuine is left over. Either its hours reached your accounting system by another route, or the technician deleted the timesheet entry it came from. Deleting it loses nothing.
A transaction whose timesheet entry has been deleted has no Retry button. Retrying it would post hours that somebody removed on purpose.
Deleting needs administrator access.
- Delete removes one transaction.
- Delete all not genuine removes every transaction marked Not genuine in one go. The number on the button is how many that is. Nothing else in the list is touched, and nothing is sent to your accounting system.
Deleting a transaction marked Genuine or Probably genuine discards the hours or the form for good. Tradie asks you to confirm first.
Good to know
A posted timesheet clears itself
You do not have to come back and retry. Once the cause is fixed, the next automatic attempt posts the timesheet and removes it from this list. Editing the entry on the mobile app does the same.
Deleting the entry clears it too
If a technician deletes a timesheet entry that failed, its transaction is removed from this list at the same moment.
Everyone in the office sees the same thing
The button, the cards and the list are the same for every Scheduler user in your business. Only deleting is limited to administrators.
