Docs Scheduler Mobile screen settings

Mobile screen settings

See a team member's phone screens as they draw them, and change the settings behind them.

Last updated 23 Oct 2026

Overview

Two screens in the Scheduler draw a team member’s phone, button for button, beside the settings that decide what is on it: Mobile Home Screen and Mobile Allocated Jobs. Change a setting and the drawing changes with it, before anything is saved - so “what does this switch actually do?” and “why hasn’t Dave got an Add Plant button?” are questions you can answer by looking.

Both open from the hamburger menu, in the admin Company block:

Menu entryDraws
Mobile Home ScreenThe phone’s Home screen - every button on it, in both layouts
Mobile Allocated JobsThe jobs list, and a job’s Info / Create / Close tabs

Every setting these screens show is also on the Settings list, where it has always been. Nothing has moved. What is new is a second way in: each of those settings now carries a See it on the phone link that opens the matching screen focused on it.

How both screens work

Nothing is saved until you press Apply

This is the one thing to know before you start clicking. On the Settings list, each control saves as you change it. On these two screens it does not: a change is a what-if until you press Apply.

  • The line at the top counts what you have changed.
  • The Apply bar under it lists each pending change as name old to new. It is always on screen, and sits quiet - “No changes yet” - until there is something to list.
  • Reset to saved throws the lot away.
  • Leaving with changes still pending asks first.

After Apply, the count line is replaced by a note like “Saved 2 settings. Phones show the change the next time the app starts, or within about six hours.” That wording is there on purpose - see When a phone sees the change.

While you have changes pending, the drawing marks them:

  • A button the change adds is drawn green, labelled new.
  • A button the change takes away stays in its place, red and struck through, labelled removed.

Both stay that way until you Apply or Reset, so the drawing always shows you what pressing Apply would do.

Preview as a person

A phone’s screen is not decided by settings alone. Some buttons come from the person’s own roles, so the screens ask who you are looking at: pick somebody in Preview as and the drawing is theirs. Their roles are listed under the picker, read-only, with a note saying where roles are changed.

Note

These screens never change anybody’s roles. Roles are set on the Users screen, which also checks that a role combination makes sense - and changing one person’s roles from a company-wide screen is a good way to change the wrong person’s. Each screen links through to the person instead.

Show hidden

Tick Show hidden and every button that is not on the phone is drawn in its place anyway, greyed out and dashed. That answers the other half of the question: not just where a button would go, but why it is not there.

The rail, and the chips on each setting

The left-hand column - the rail - is the settings themselves, grouped by where they show up on the phone. Each row is the setting’s real name and description, its control, and a line of chips naming exactly what it changes: List, contact line; Create, Add Plant. A chip is green while that part shows and struck through while it does not, and clicking one takes the drawing to the page it is on.

Hovering a setting outlines what it changes on the phone. Clicking a part of the phone does the reverse: it scrolls the rail to the setting behind that part and pulses it.

Why each part is there

Beside the phone is a list of every button and section on the page you are looking at - shown or hidden - each with the reason it is in that state:

ReasonMeans
SettingA setting decides it, and it is in the rail
User roleThe person’s roles decide it - change them on Users
Set elsewhereAnother screen decides it: the Report Designer, Job Statuses, a checklist screen
Your accounting systemYour connector either supports it or does not
Every company on this serverA server-wide switch, the same for every company
The job has / has notIt depends on the job, not on a setting
The phoneThe team member chooses it on their own phone
AlwaysNothing turns it off

Set elsewhere, and the read-only groups

At the bottom of each rail are groups you can read but not change, which is the point of them - they are the things that look like settings and are not:

  • Set elsewhere - what another screen owns, with a link to it.
  • Changes nothing on this screen - a setting that exists, and does nothing here. On the Home screen that is Transaction Search: it is still sent to phones, but the button it used to show is gone from the app, so ticking it changes nothing a team member can see. It is listed with its value and no control, rather than offering you a switch that does nothing.
  • Set for every company on this server (Mobile Allocated Jobs) - a dozen switches that change the job screens but are not settings at all. They are set once for the whole server, so they are shown with their value and what they do, and cannot be changed from here.
  • Your accounting system (Mobile Allocated Jobs) - what your connector can and cannot do. Video settings, for instance, are greyed out with “Your accounting system cannot store videos” rather than hidden, so the reason is on screen.

When a phone sees the change

Nothing is pushed to phones. A phone picks up new settings when:

  1. the app is started;
  2. Home is opened and its buttons were last worked out more than two hours ago; or
  3. the app notices its stored settings are more than about six hours old.

So a change reaches a phone that is sitting open within about six hours, and a phone that is next started gets it straight away. If you are testing a change with somebody, have them close and reopen the app rather than waiting.

Mobile Home Screen

The Mobile Home Screen settings screen: the settings rail, a drawing of the phone's Home screen, and the reason each button is shown or hidden

Eleven settings decide what is on a team member’s Home screen, spread across seven categories of the Settings list. This screen puts them in one place, grouped by what they do: Jobs, Materials and purchase orders, Quotes and invoices, Lookups, Messages and documents, and Dashboard layout only.

Besides Preview as and Show hidden, the example bar here has:

  • Layout - Classic list or Dashboard, the two shapes the Home screen comes in. This is a preview only. Which layout a phone uses is chosen on the phone, in its own Settings, along with the theme, dark mode and which buttons are favourites.

The drawing shows the header, the company name, the welcome line, then the buttons in the order the app puts them in, the forms, and Logout. In Dashboard layout it draws the hours card, the Next Job card and the favourite tiles instead, with the hamburger menu opening over the top. The sample job and the hours are marked as an example; the forms and the person are real.

Four buttons are not settings

Time Sheet, Create Job, Users And Plant and All Jobs are decided by the person’s roles, not by any setting. The drawing marks each one with a person icon - hover it and it says which role puts it there, or which role the person is missing. Change those on Users.

Forms and form groups on Home are a third case: they are placed there in the Report Designer, per form, and filtered by who the person is. Those carry a book icon, and no setting on this screen moves them.

The empty Document Vault warning

Switching Document Vault to Homescreen on while no documents have been uploaded warns you that the Documents screen on the phone will be empty. It does not stop you - you may be about to upload them - and it only warns about a save that turns the vault on, not about a vault that was already on and empty.

Mobile Allocated Jobs

The Mobile Allocated Jobs settings screen: the settings rail, the phone's My Scheduled Jobs list, and the reason each part of it is shown

About thirty settings change the jobs list and the job screen. The rail groups them by where the change shows:

GroupAbout
Getting to the listWhether the lists are there at all
The jobs listThe cards: bundling, contact details, the callout job
Job details (Info)The Info tab’s sections
Adding to a job (Create)Purchase orders, materials, plant, internal notes, images and video
Closing a job (Close)Memos, minimum note length, the rebook button
Job statusThe in-progress status code
Names on the phoneThe tab names, and the aliases for Assigned To, Customer Item and Service Items

The example bar has more to it here, because there are more screens to draw:

  • Show - Jobs list, or the job’s Info, Create or Close tab.
  • List - which of the three lists you are looking at: My Scheduled Jobs, My Progress Jobs or My Jobs. They do not show the same jobs, and they do not all respond to the same settings.
  • The job has - switches for what the example job carries: a contact, a customer item, service items, a site address, an estimate, attachments, a note from the office. Plus Work running on it, which swaps Start Work for Stop Work and turns the list card red, An admin job, and Health and Safety done today.

The example bookings are built to show the cases that catch people out: two bookings of the same job on one day (so you can see bundling on and off), an admin job, the callout job, a completed job, and - with the Sales module on - a Sales Task.

Things it makes visible that were previously code-only

  • Job statuses - their colours, which ones are Available on Mobile, and which need a note - drawn from your own statuses, with a link to the Job Statuses screen.
  • Start and Stop Work checklists, as the phone shows them, linking to their screens.
  • Forms on each tab, and the Health and Safety form, for a chosen person - placed in the Report Designer.

Two settings that behave differently here

  • Callout Job Code gets a proper job picker - None, then your admin jobs - rather than a text box. If it currently holds something that is not a job code, it says so and offers you the list rather than quietly changing it.
  • Rebook Job Status Code set to None while Show rebook button on Close Tab is on warns you before Apply that the button will not appear.
