Order or allocate parts for a job
Raise purchase orders for the parts a job needs, or mark them as coming from stock.
When a technician has listed the parts a job needs, you can turn that list into purchase orders without retyping it. Each line gets a supplier, and Tradie creates one order per supplier in your accounting system. Parts you already hold can be marked as coming from stock instead.
You reach this from the job itself. Open a job in the job details pane, expand its customer item’s service items, and click Order/Allocate Parts. The button appears only when purchase orders are switched on for your company and the item has parts listed against it.
Step by step: order parts for a job
- Open the job in the job details pane and expand the service items under its customer item.
- Click Order/Allocate Parts.
- Check Date and the Job the order is against. Both are filled in for you.
- Enter the customer’s own order number or reference in Order No, if they gave you one. This is not the purchase order number - your accounting system assigns that.
- Choose a part in the bar at the top of the grid and click Add. Repeat for each part you want to order.
- Set the Supplier on each line. Tradie fills in the product’s preferred supplier where it knows one.
- Choose From stock as the supplier instead, for any line you are supplying from your own stock rather than buying in.
- Set Qty on each line.
- Click Save.
Tradie creates one purchase order per supplier and tells you the number of each. Lines marked From stock go on no order - they are recorded against the job as supplied from stock. You are then offered the chance to email each order to its supplier, with a preview of the order before it goes.
Tips
- Drag a line to reorder it. The order you see is the order the supplier sees.
- Any text-only notes the technician left against the item appear above the grid under Notes from the field. They are there for you to read, and never become order lines.
- Parts already ordered or allocated for this job are listed before the grid, so you can see what is already on its way before adding the same parts again.
Limitations
- Only suppliers switched on under the Suppliers screen are offered, plus any product’s preferred supplier. If no suppliers are switched on, Tradie says so rather than leaving the pickers empty.
- From stock is offered only when you opened the screen from a customer item, because that is what the stock record is held against.
