Timesheets
Review and approve team member time before it reaches payroll.
Review every team member’s hours by week, fix anything that looks off, and submit - all before it reaches payroll.
Layout
- User selector - pick the team member whose week you want to review.
- Week navigation - step back and forward through weeks, or jump straight to This week.
- Download CSV - export the visible timesheet.
Each row in the table shows the Date, Job, Hours, Labour Code, and Start/Stop times, with Edit, Submit and Delete actions - or simply Submitted once it’s been processed.
A teal row with a phone icon is an on-call allowance, which Tradie adds and keeps up to date itself, so it has no Edit or Delete. An amber one marked No longer owed was sent and then stopped being owed - see On-call allowances.
Step by step: correct and submit an entry
- Select the team member and week.
- Click Edit on the entry you need to change.
- Adjust the Hours, or the Start/Stop times - changing one recalculates the other automatically.
- If needed, change the Labour Code (only codes assigned to that user are offered).
- Click Submit and confirm - the row now shows Submitted.
Entries can only be added for the last couple of days by default, so timesheets stay close to when the work actually happened.
Booking time to a job that is not in progress
By default the job picker here offers jobs that are in progress - the statuses ticked as WIP in Job statuses. That hides more than finished work: Ready to Invoice, Waiting on Customer, On Hold and any custom status you have not ticked all disappear from the list too, even though people legitimately still need to put time against them.
Turn on Timesheets can book time to any open job in Settings and the picker offers every job that is not actually finished, whatever its status.
Finished jobs stay out either way. Each accounting system words that differently - Complete, Cancelled, and the equivalents in yours - and Tradie knows the set for the system you are on, so a genuinely closed job is never offered.
The setting changes this screen only. The calendar, the Pending and Progress lists and the mobile app’s own timesheet picker are unaffected - mobile has its own setting for what it offers.
Fixing an entry that has already been submitted
A submitted entry is normally finished: its hours are on a job in your accounting system, and the row shows Submitted with nothing to click.
With Admins can un-submit timesheet entries switched on in Settings, an admin sees a padlock beside that word. Clicking it takes the lines back off the job and turns the row into an ordinary entry again - hours, times, job, labour code and date all editable - ready to be submitted afresh.
This genuinely removes the lines from the job in your accounting system. It is a correction, not a copy, so anything already invoiced from those lines needs looking at too.
It will not work once the entry has been processed at the other end, and it is admin-only.
Un-submitting needs a connector new enough to take a line back off a job, and only works for entries submitted since that connector was installed. Older entries keep the padlock greyed out.
Un-submitting is not available on Infusion Online: taking a line back off a job is something the accounting system has to support, and this is an Infusion Elite capability. The setting is still in Settings, but the padlock will not appear.
