Products & Quick Add
Manage your product list and the Quick Add shortcuts team members use.
Choose which products your team members can see and add to a job from the field, and which ones deserve a one-tap “Quick Add” shortcut.
Products
Shows every product’s Code, Name, Stock Group, and an Is Available checkbox - search by name/code, filter by Stock Group, or use Select All to toggle everything currently in view at once.
Update from Infusion pulls in any products added or changed on the Infusion side.
Update from Infusion pulls the current products from Infusion Elite through the Tradie connector.
Narrowing the catalogue with a product filter
Most businesses do not want their whole accounting-system catalogue offered to a team member on site. A product filter narrows it to the products that are actually installable work - by a field on the product itself, rather than by ticking thousands of boxes by hand.
The filter line sits above the product list. With nothing set it reads Product filter: none - all products are available, with an Add a filter button. Once a rule exists it summarises the rule and tells you how many products it leaves, for example 1,284 of 3,905 products shown, with Edit beside it.
Writing a rule
A rule is three parts: a field from your accounting system, an operator, and one or more values.
| Operator | Matches when the field |
|---|---|
| Equals | is any one of the values you list |
| Not equals | is none of them |
| Contains / Starts with | contains, or begins with, the text |
| Is true / Is false | is a yes/no column set that way |
| Is blank / Not blank | is empty, or has something in it |
Matching ignores case and surrounding spaces.
You can add more than one rule. Every rule has to pass, but within a single rule any one of its values passing is enough - so “CLASS is SVC or MAINT” is one rule with two values, while “CLASS is SVC” plus “USER1 is not blank” is two rules that both have to hold.
Check the count before you save
Editing a rule recounts as you go and shows how many products match, with a sample of the ones that do. That count is worked out by your accounting system against the same products and the same rule the real filter will use, so what you see in the preview is what you will get.
A rule that matches nothing is allowed - a business part-way through tagging its products may genuinely be there - but it asks you to confirm first, because saving it leaves every product picker empty. If your team suddenly cannot find any product, this is the first thing to check.
Saving refreshes the catalogue straight away, so the change takes effect immediately rather than whenever the products next refresh on their own.
What the filter does and does not touch
A filtered product is marked unavailable, not deleted. That distinction is the whole design, and it decides where the filter is felt:
| Where | Effect |
|---|---|
| Mobile product picker, purchase orders, quote lines | Narrowed to matching products |
| This Products screen | Unchanged - every product still listed, so you can see what the rule excluded |
| Labour codes, Quick Add items, Plant / equipment | Unchanged |
Those three screens keep their own saved lists and look each entry up in the catalogue. Had the filter removed products outright, a labour code or Quick Add item pointing at an excluded product would have vanished with no explanation. Marking availability narrows only the list that consults it.
‘Quick Add’ Products
A separate, smaller list drawn from your Consumables - the handful of items team members use constantly (screws, tape, whatever it is for your trade) and don’t want to search for every time. Tick Is Available here to add an item to the one-tap Quick Add shortcuts on the mobile app.
