Docs Scheduler The calendar

The calendar

The Scheduler's live board: one row per team member, and drag a job on to book it.

Last updated 17 Oct 2026

Overview

The calendar is your live board - every team member gets a row, and you drag jobs straight onto their day to book them. As work happens in the field, the booking’s colour updates automatically.

The parts

The Scheduler calendar with resource rows and bookings
  1. Date quick-links - jump to today, tomorrow or a chosen date
  2. Resource rows - one per team member or piece of equipment
  3. A booking (allocation) - drag to move it, or drag its edge to resize

Each row belongs to a team member or a piece of bookable equipment - see Team members & equipment. Each coloured block is a booking - see Allocations & bookings and Job statuses & colours for what the colours mean.

Booking a job by dragging

Drag a job from the jobs list onto a team member's row to book it

Because Infusion Online syncs in real time, a booking you create here also updates the job’s status back in Infusion within moments - nobody needs to re-key anything.

Infusion Elite is reached through the Tradie connector running on your own server, so a booking you make here reaches Infusion the next time the Scheduler talks to it rather than the moment you drop it. In practice that is quick, but it is a round trip to your site, not a live feed - and nothing reaches Infusion at all while the connector is stopped.

Right-click menu

Right-click a booking to get help, send a text reminder, unassign it, toggle its time promise, add or edit a note, add a timesheet entry for the time booked (see Add a timesheet entry from a booking), or delete its future allocations.

Step by step: book a job by dragging
  1. Find the job in the jobs list on the left (see The jobs list).
  2. Click and hold the job, then drag it onto the team member’s row and the time slot you want.
  3. Release - the booking appears on the calendar immediately.
  4. Drag the booking’s left or right edge to adjust its start or end time, or see Change a booking’s duration for the dialog-based way.
Step by step: send a text reminder from the calendar
  1. Right-click the booking on the calendar.
  2. Choose Send text reminder.
  3. Pick how many minutes before the job starts the text should go out.
  4. Save - Tradie sends the reminder automatically at that time.

Notes about a team member

Hover a person’s name in the staff column and anything the office has recorded about them appears - a ticket that expires next month, the van they drive, who to ring if they do not answer. It is whatever was typed into Notes on their user record, and people with nothing recorded show nothing at all.

It is there for the decision you are making at that moment: who to send, without leaving the calendar to find out.
