Add notes to materials
Explain a materials record with its Notes box, or add a text-only note line.
There are two places for words on a materials record. The Notes box describes the whole record. An Add Note line sits among the products, for something the office should read alongside them.
The Notes box
The Notes box near the top of a materials or purchase order record is for the record as a whole - “Customer supplied the tap”, or “Part to be collected from the trade counter”. Type in it before you tap Save.
A note line
Step by step: add a note line
- On the materials record, under Add line items, tap Add Note.
- Type the note, or tap one of your company’s quick notes to drop it in.
- Tap Add, then Save the record.
The note becomes a line of its own, in order among the products, so it reads next to the item it explains.
When to use which
| You want to say | Use |
|---|---|
| Something about the whole record | The Notes box |
| Something about one product, next to it | An Add Note line, straight after that product |
| Something about the job rather than the materials | A work note on the job’s Create tab |
If you cannot see them
Your company can hide the Notes box, and the Add Note button only appears if your company allows note lines. If neither is there, use a work note on the job instead.
Who reads them
Both travel with the record to your accounting system, so the office sees them with the materials or the purchase order.
