Add a note to a job
Leave a written record on the job - what you found, what you did, what still needs doing.
A note is how you tell the office something the job itself does not say - what you found when you got there, what you did about it, why it took longer than the booking allowed. It is saved against the job, so the next person to open it sees it too, and it goes through to your accounting system where the office can read it beside the rest of the job.
Adding a note
Step by step
- Open the job from your jobs list.
- Go to the Create tab.
- Type what you want to say in the New work note box.
- Tap Add Work Note.
The note is added straight away and appears in the list of notes on the job. You do not have to be finished with the job, and you can add as many as you like - a note is never a replacement for the last one.
Your company may have renamed the Create tab. If you cannot see it, look for the middle of the three tabs across the top of the job.
Notes are added, not edited. There is no way to change or delete one from Mobile once it has been added, so if you need to correct something, add another note saying so.
Internal notes
Some companies turn on a second box, New internal note, with its own Add Internal Note
button. It works exactly the same way, and the note is marked INTERNAL NOTE so whoever reads
it in the office can tell the two apart.
What “internal” means in practice is your company’s own convention - ask your dispatcher which box they want you using for what. If you only see one box, your company has not turned this on.
The note you are asked for when stopping work
If your company requires a note on every job, tapping Stop Work takes you to a note screen first, before your time is saved. You have to write something to get past it, but the note is all it wants - it is not a form.
Two things worth knowing:
- It only asks once a day per job. If you have already added a note to that job today, Stop Work goes straight through.
- It may ask for a minimum length, either a number of characters or a number of words, depending on which screen you are on. If what you have typed is too short you will be told what it wants. “Done” and “All good” generally will not pass, and that is the point of the setting.
Where your note appears
On Mobile, in two places on the job: the notes list on the Create tab where you added it, and under Job Notes on the Info tab. The newest note is shown first, each one stamped with who wrote it and when.
In the office, notes show against the job in your accounting system. Where exactly depends on a setting your company controls:
| Setting | Where the note lands |
|---|---|
| Neither (the default) | The job’s notes or memo field |
| Notes as Job Lines on | The job’s transaction list, as a note line beside the charges |
| Add Job Note text to job lines on | Both places |
That choice is your office’s to make, not yours, and it changes nothing about how you add a note. It is worth knowing it exists, though, because it explains why a note you added might not be where a colleague expects to find it.
Notes as Job Lines needs a site connector from October 2026 or later. On an older connector your notes keep going to the job’s Tech Notes whatever the setting says. If you are not sure which build your site is on, ask your Tradie contact.
Accredo Saturn has no note line on a job, so Notes as Job Lines makes no difference to a Saturn site - notes arrive as job memos either way.
Timesheet notes are not the same thing
The Note on a timesheet entry is its own field, attached to that entry rather than to the job, and your company can send it to a different place again - see Timesheet notes on the job line. Use a work note for things about the job; use the timesheet note for things about the time you are recording.
Offline
A note added with no signal is held on your phone and sent when you are back in range. It shows in the job’s notes list in the meantime, so you can keep working and it will not be lost. See Working offline.
Do not add the same note twice because you are not sure the first one went - it did.
