Check it arrived in Infusion
Compare a finished job in Tradie with Infusion, and know where to look when something is missing.
Tradie sends time, materials, notes, photos and job status changes back to Infusion. Most of it goes straight away, but timesheets wait until they are submitted. Before your whole team starts, take a few finished jobs and check that what your team entered in Tradie matches what Infusion shows. It is the quickest way to catch a setup problem, such as a missing labour code, while only a handful of jobs are affected.
What goes back, and when
| What | When it reaches Infusion | If it does not arrive, look at |
|---|---|---|
| Time | When the timesheet entry is submitted - see below | Unposted Transactions in the Scheduler |
| Materials and purchase orders from the Mobile app | As soon as the technician saves them | The technician’s phone - it keeps them and tries again |
| Materials entered in the Scheduler | When you click Process Batch | The batch, which stays unprocessed |
| Notes | Straight away | The job in Tradie |
| Photos and files | Straight away | Files Not Uploaded in the Scheduler |
| Job status changes | Straight away | The job in Tradie |
| Health and Safety forms | When they are submitted | Unposted Transactions in the Scheduler |
When time is sent
A timesheet entry is saved in Tradie first, and goes to Infusion when it is submitted. By default this happens overnight: shortly after midnight, Tradie submits the previous days’ entries. You can also submit entries yourself from the Scheduler’s timesheets, or switch on submitting as soon as an entry is saved.
So time logged today normally appears in Infusion tomorrow morning. Allow for that when you check.
Step by step: check a finished job
- Pick a job a team member has finished in Tradie, with time, materials and a note on it.
- Wait until its time has been submitted, or submit it yourself from Timesheets.
- Open the same job in Infusion.
- Check the hours and labour codes match what was logged in Tradie.
- Check each material line, with its quantity.
- Check the notes and any photos are on the job.
- Check the job’s status matches Tradie.
Do this for a few jobs, including one with a purchase order if your team raises them. Once the first few match, spot-check a job now and then.
When something is missing
- Unposted Transactions appears in the Scheduler’s header only when Infusion has turned something down. Open it to see the reason and send the entry again once it is fixed. See Unposted transactions.
- Files Not Uploaded appears in the header when Infusion would not accept a photo or file. Tradie keeps the file for 30 days so you can download it.
- Materials from the Mobile app are not listed in the Scheduler if they fail. The technician’s phone holds them and sends them again the next time the app opens with a connection.
- On Infusion Elite, everything waits while the connector is offline. See the troubleshooting steps in Connect Infusion Elite.
The commonest cause early on is a setup gap: a labour code, product or staff member that a user is set up with in Tradie but which Infusion does not have, or has marked inactive.
To keep a record of every item Tradie sends, and whether Infusion accepted it, switch on Keep an audit of ERP transactions in the settings. It is off by default. The record is useful for the first few weeks.
