Quotes
How a quote moves from draft to your accounting system, and who can approve one.
A quote starts life in Tradie, where you can work on it as long as you like, and goes to your accounting system only when you submit it. That gap is what lets a manager check a large quote before it reaches the customer.
One list, whichever system wrote it
The Quotes item in the left-hand nav opens a single list. It holds quotes drafted in Tradie and quotes written directly in your accounting system, because to a salesperson both are simply quotes. Ones written in the accounting system are read-only here.
Columns are Number, Date, Customer, Description, Quoted By, Outcome and Accounting status. The filter panel narrows by customer, date, salesperson and the accounting system’s own status, and there is a Draft chip for the quotes you have not sent yet.
The list loads the last twelve months by default. Widen the From date to see older quotes.
The four states a Tradie quote moves through
| Status | What it means |
|---|---|
| Draft | Never submitted. Fully editable, and nothing outside Tradie knows it exists. |
| Submitted | Your accounting system has a current copy, and its figures are the ones shown. |
| Awaiting approval | The total is over the raiser’s spend limit. It is held here and has not been sent. |
| Changed | Edited after it was submitted. It needs submitting again. |
Editing a submitted quote is allowed. It moves to Changed and gets its own Submit Quote button, so a spend limit is re-checked against the new total rather than being skipped by the edit.
What your accounting system can do
| Draft in Tradie | Submit it | See its own quotes | Convert it | |
|---|---|---|---|---|
| Infusion Elite | Yes | Yes | Yes | To a job |
| Accredo Saturn | Yes | Yes | Yes | To a job, an invoice or an order |
| Infusion Online | Yes | Not yet | Nothing to show yet | No |
Infusion Online has no quote concept in its API yet. Quotes still work as an internal record, and the Submit Quote button appears on its own once Infusion ship theirs. Nothing needs changing here when they do.
A submitted quote can be turned into work from the list: Create Job from Quote, and on Accredo Saturn also Create Order and Create Invoice.
Spend limits
A spend limit is set per person, on the Scheduler’s user record, not for the business as a whole. Someone with no limit set is unaffected, so switching this on changes nothing for the people you leave alone.
When a quote goes over the raiser’s limit, submitting holds it at Awaiting approval and nothing reaches the accounting system. Everyone with Is Sales Lead Admin is emailed, naming the quote, the customer, the total, the limit it passed and who raised it.
