Approve a quote held for a spend limit
Release a large quote to your accounting system, or send it back with a reason.
When a salesperson submits a quote worth more than their spend limit, Tradie holds it rather than sending it. An approver releases it, or sends it back to the author with a note saying why.
Who can approve
Approving is a role, not a figure. Administrators and anyone with Is Sales Lead Admin can approve; so can anyone with the approval role ticked on their user record in the Scheduler.
A limit and the approval role are separate things. Someone who holds both is still limited by their own figure on quotes they raise, and unlimited when approving somebody else’s. Nobody can approve their own quote, whatever roles they hold.
Finding the quotes waiting on you
Held quotes carry an Awaiting approval marker on the Quotes screen. You are also emailed when one is submitted, naming the quote, the customer, the total, the limit it went over and who raised it, with a link straight to it.
Step by step: approve or decline
- Open the quote from the Quotes list or from the email link.
- Read the lines and the total.
- Click Approve to release it, and confirm.
- To send it back instead, click Decline.
- Type why it is going back, then confirm.
Approving submits the quote exactly as if its author had done it, so the accounting system gets its copy at that point. Declining returns it to Draft and shows your reason to the author, who can change it and submit again - at which point the limit is checked afresh against the new total.
Tips
- A limit is set per person, so you can leave it off for the people who do not need one. Somebody with no limit set is never held.
- Editing a quote after it has been submitted puts it back in the queue. That is deliberate: it stops a large quote being approved small and then grown.
